Personal Data Privacy Policy
1. Consent.
Individuals will be asked to give unambiguous and informed consent (OPT-IN) for us to use their data for electronic direct marketing e.g. sending email messages promoting our events or sending email-newsletters. We will not normally contact you by telephone unless you have explicitly asked us to, or are members of the Steering Committee or the recipient's telephone number is not a personal one (e.g. published public/business addresses).
We will only hold and use your personal contact information where we know that you have given us consent to be contacted.
We will review all the ways we gather personal data to be sure we can show consent was clearly given at the point you give it to us in writing (i.e. sign up online/at an event).
2. Transparency and Information Sharing
In addition to getting OPT-IN consent for event or information marketing activities, we will be clear with you why we are collecting your data and what we will do with it, at the point you give it to us, asking you to read this document before consenting:
We will only use your personal data to:
a. Inform you about Fairtrade events, or to distribute information about Fairtrade. We will not share your personal information with third parties.
b. For those (usually Steering Group members and other volunteers) of you who take part in organising and assisting at events and attending Fairtrade Meetings we will record the number of hours you have volunteered for the purpose of periodic reporting the level of our Fairtrade activity to the Fairtrade Foundation to ensure we are meeting their criteria to be awarded Fairtrade Community Status and to maintain it year on year. These data may also be useful to report volunteer time for matched funding sources.
3. Changing preferences
We will make it clear and easy for you to change your preferences (if applicable) on how we use your information, and have a simple and clear process for doing that, which includes maintaining your OPT-IN information and preferences you have given us, and/or requests to delete (OPT-OUT) your data completely.
4. Security.
We will store personal data securely and robustly – so that data are safe, and are updated correctly and comprehensively when changes happen. We will manage this by nominating one person responsible for maintaining a comprehensive mailing and contact list who ensures it is up to date, reflects the most recent updates to individual preferences (e.g. unsubscribe requests) and is encrypted and password protected, and is backed up onto separate media for safe keeping. We would point out that although we cannot keep you data up to date if you do not tell us when it changes, we will monitor "undelivered" email status and try to contact you by telephone to correct this if you have provided a telephone number for us to contact you.
When sending emails to inform you about Fairtrade events and other Fairtrade information we WILL BLIND copy you so as not to share your email address with others on the list.
